Short answer: Pick a company that has the right yacht for your guest count, gives you one point of contact, can show real corporate references, sends an itemised quote with VAT shown, puts its booking and weather terms in writing and has someone on the dock on the day.

1. A fleet that fits your guest count

Start with the number of guests, then add room to spare: the licensed capacity counts everyone on board, including catering and service staff. Ask which yachts are actually available on your date and for recent photos of the yacht you will board, not a sister ship.

2. One point of contact, or several suppliers

Some companies rent the yacht only; others coordinate the whole event. For a short cruise, a yacht-only booking can be enough. For client entertainment, a gala dinner or a launch, ask who will coordinate the catering, the bar, the entertainment, the decor and the timings, and who you call if something changes.

3. Real corporate references

Ask for examples of corporate events the company has run: the brief, the number of guests and how the day went. Case studies and recent reviews tell you more than a brochure.

4. An itemised quote, with VAT shown

A clear quote lists the yacht hours, what is included (captain, crew, fuel, soft drinks, water, ice, towels), each extra service and the VAT. Check whether an event management fee is added, and what happens if the charter runs longer.

5. Booking, cancellation and weather terms in writing

Before you pay, read when the booking is confirmed, when the balance is due, what is retained if you cancel and what happens if the weather does not allow the charter. Your finance or procurement team will usually want these in writing.

6. Someone on the dock on the day

For a corporate event, the first ten minutes set the tone. Ask whether someone from the company will welcome your guests at the marina and stay reachable during the charter.

7. Catering, entertainment and branding

Check who prepares the food and how it is served on board, whether a DJ or live music needs extra speakers, and whether your branding (flags, signage, a welcome board) can be set up before your guests arrive.

Where Odyssia fits

Odyssia is a turnkey events agency rather than a fleet owner: we source the yacht from a curated partner fleet for groups of up to around 150 guests, then plan and run the whole event with one team, including catering, staff, entertainment and decor, with no event management fee on yacht events. For a simple cruise without catering or coordination, booking a yacht directly can be enough. See our corporate yacht events, our case studies and how we work.

Quick answers

Is it cheaper to book the yacht and suppliers separately?

Sometimes, on paper. But you then coordinate every supplier yourself, on the day as well. For a corporate event, compare the full cost and the time your team will spend, not just the yacht's hourly rate.

How far in advance should we book a corporate yacht event in Dubai?

As early as possible in the high season, from October to June, and especially for December. Yacht availability changes every day and a booking is only secured once the deposit is paid.

What should a corporate yacht quote include?

The yacht hours, the captain and crew, fuel, soft drinks, water, ice and towels, then each extra service listed with its price, and the VAT shown separately.
